Privacy Policy

Arctex ("Arctex," "we," "us") operates a platform for agencies to manage websites, contacts, scheduling, social media, and AI-assisted automation on behalf of their own clients. This policy explains what information we collect, why, how AI is used, who we share information with, and what choices you have. Last updated 2026-08-29.

Information we collect

Account information: name, email address, and a securely hashed password when you or your agency creates an account, plus optional two-factor authentication status. If you sign in with Google or Apple, we receive the email and name your account with that provider chooses to share.
Business/workspace data: information an agency or its clients enter into the platform to use it — contacts, calendar events, social media posts and connected accounts, reputation/review data, tax-compliance records, and configuration for AI agents.
Uploaded branding assets: logo and thumbnail images uploaded for a client's own public website. These are intentionally public — they're published as part of that website, the same as any other public site asset.
Usage data: aggregate, privacy-respecting analytics about how the platform is used, collected via Vercel Analytics and Speed Insights.
Mailing list: if you subscribe to our mailing list, we store the email address you provide and the date you subscribed.

Why we collect it

We collect this information to operate the platform's core functionality: authenticating accounts, running the CRM/scheduling/social/tax features an agency and its clients use, hosting client websites, sending required account and billing-related communications, and improving the product from aggregate usage patterns. We do not sell personal information.

How Arctex uses AI

The platform includes an AI agent feature, available to authenticated agency and client accounts, that can automate tasks like drafting social media content or summarizing business activity. When an agent runs, the relevant business data needed for that specific task (for example, a contact's activity history, or a draft post's text) is sent to Anthropic's Claude API to generate a response. This happens only when an agent is explicitly configured and executed by an authenticated user — never for anonymous site visitors, and never as a background/always-on listener. AI-generated output is labeled as such in the dashboard and should be reviewed by a human before being relied upon or published; we do not guarantee its accuracy.

Third parties we work with

We only list services the platform actually sends data to or through — not every tool installed in our codebase.
Anthropic — processes business data you submit to an AI agent, to generate that agent's response.
Google — used for "Sign in with Google," and, separately and only if an agency connects it, Google Calendar and Google Business Profile integrations for that agency's own scheduling and review management.
Apple — used only for "Sign in with Apple."
Meta (Facebook/Instagram) — used only if an agency connects a social account, to publish that agency's own posts on its own behalf.
GitHub — hosts the source code and public assets (including uploaded logos/thumbnails) for client websites we build and deploy.
Cloudflare — manages DNS for client website domains.
Vercel — hosts and deploys the platform and client websites, and provides aggregate analytics.
Our email delivery provider — sends account-related email (verification, password reset, notifications) on our behalf via standard SMTP.
We do not use Facebook/Google/Apple login data for advertising, and none of the above receive your password.

Data retention and deletion

Most records you delete in the dashboard are moved to a recoverable Trash for 14 days, after which a background job permanently deletes the database record. For a deleted client website specifically, permanently deleting its platform configuration does not, by itself, delete its hosted source repository or deployment — those are removed separately, and completely, when the site's hosting is removed through Site Management. We do not currently offer a fully automated, self-serve "export all my data" or "delete my account" button; to request either, contact us using the details below and we will process the request manually.

Your choices

You can update your account profile and security settings, disconnect a connected social/calendar/review integration, or delete workspace records directly in the dashboard. You can unsubscribe from our mailing list at any time by contacting us — this never affects required account, security, or billing-related email, which is separate from marketing communication and cannot be turned off while your account is active.
